Overview
This Privacy Policy explains what information PresenceReport collects, how we use it, who we share it with, and the choices you have. It applies to your use of the PresenceReport website, the application at app.presencereport.com, and related services (together, the "Service").
The short version: We collect your name, email, account preferences, and the data needed to run audits and process payments. We share data with the third-party providers we depend on to operate (like Stripe and AWS). We do not sell your personal information. You can access, update, or delete your data at any time by emailing support@presencereport.com.
Who's Responsible
PresenceReport is operated by Nielsen Information Services LLC, an Arizona limited liability company. For the purposes of applicable privacy laws, Nielsen Information Services LLC is the controller (or, under PIPEDA, the organization) responsible for your personal information.

What We Collect
Information you give us directly
- Account information: your name and email address when you register.
- Authentication credentials: a hashed password we use to log you in. We never store your password in plain text.
- Billing information: when you subscribe, our payment processor (Stripe) collects your payment method, billing address, and related details directly. We do not see or store your full card number. We retain limited Stripe-issued identifiers (like a customer ID and the last four digits of your card) so you can see your billing status in your Account.
- Audit inputs: the business names, locations, and search terms you submit when running an audit.
- Support messages: any messages or attachments you send to our support email.
- Preferences and settings: your branding selections, notification preferences, and similar Account settings.
Information collected automatically
- Technical data: IP address, browser type and version, operating system, language, time zone, device identifiers, and similar technical information.
- Usage data: pages viewed, features used, audit volume, timestamps, referring URL, and clicks within the Service.
- Log data: server logs that record HTTP requests, error events, and security-relevant events.

Information about the businesses you audit
When you run an audit, the Service retrieves publicly available information about the audited business from third-party sources (such as the Google Places API, the business's own website, and public review platforms). This data is about the business — not about you. Where it incidentally includes personal information (for example, the name of a business owner in a public listing), we treat it the same way: as data needed to provide the Service, not data we use for any other purpose.
How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the Service.
- Run audits, generate reports, and deliver the results to your Account.
- Process subscriptions, payments, refunds, and billing communications.
- Send transactional emails (welcome, password reset, billing receipts, scheduled monitoring alerts).
- Respond to your support requests.
- Detect, investigate, and prevent fraud, abuse, security incidents, and violations of our Terms.
- Analyze usage to improve the Service, debug issues, and inform product decisions.
- Comply with legal obligations, respond to lawful requests, and enforce our agreements.
- With your consent, send occasional product update emails. You can opt out at any time.
We do not use your information for automated decision-making that produces legal or similarly significant effects on you.
Service Providers
We use the following third-party service providers to operate the Service. Each is bound by its own terms and privacy practices, and processes data on our behalf for the purposes listed below:

We share with each provider only the information necessary for that provider to perform its function. We do not authorize service providers to use your information for their own marketing.
Service providers may change as our infrastructure evolves. We will update this list and notify you of material changes as required by applicable law.
Data Retention
We retain personal information for as long as your Account is active or as needed to provide the Service. Specifically:
- Account information is retained until you delete your Account.
- Reports and audit history are retained until you delete them or close your Account.
- Billing records are retained for the period required by applicable tax, accounting, and financial regulations (typically 7 years).
- Server logs and security data are typically retained for 90 days, then deleted or anonymized.
- Backup copies are overwritten on a rolling schedule and not retained beyond their normal backup cycle.
When you delete your Account, we delete or anonymize your personal information, except for data we are required to retain for legal, accounting, or security purposes.
Security
We take reasonable and appropriate measures to protect your information, including:
- Encrypted transport (HTTPS/TLS) for all communications with the Service.
- Encrypted storage at rest for sensitive data.
- Hashed and salted password storage — we never store passwords in plain text.
- Tokenized payment handling through Stripe — we never store full card numbers.
- Network-level protections including a web application firewall, rate limiting, and DDoS protection.
- Bot detection and fingerprinting on signup to prevent abuse.
- Routine security updates and patching of our infrastructure.
- Restricted internal access on a need-to-know basis.
No system is perfectly secure. If you believe your Account or any data has been compromised, please contact us immediately at support@presencereport.com.
Your Rights
You have the following rights regardless of where you live:
- Access: request a copy of the personal information we hold about you.
- Correction: ask us to correct information that is inaccurate or incomplete.
- Deletion: ask us to delete your personal information, subject to data we are required to retain.
- Portability: request your data in a structured, commonly used, machine-readable format.
- Withdrawal of consent: withdraw consent at any time where we rely on it (such as for marketing emails).
- Opt out of marketing: use the unsubscribe link in any marketing email, or contact us.
To exercise any of these rights, email us at support@presencereport.com. We will respond within 30 days. We may need to verify your identity before fulfilling a request.
We will not discriminate against you for exercising any of these rights.
U.S. State Privacy Rights
If you are a resident of California, Colorado, Connecticut, Utah, Virginia, or another U.S. state with comprehensive privacy legislation, you have additional rights under your state's law, which may include the rights described in the section above plus the right to opt out of "sale" or "sharing" of personal information and the right to limit use of sensitive personal information.
We do not sell personal information as that term is defined under U.S. state privacy laws, and we do not share personal information for cross-context behavioral advertising.
To exercise your rights, email support@presencereport.com. You may also designate an authorized agent to make a request on your behalf, in which case we may require proof of authorization.
If we deny your request, you may appeal the decision by replying to our response within 30 days.
Canadian Residents
If you are a resident of Canada, we handle your personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial legislation.
We collect, use, and disclose personal information for the purposes described in this Privacy Policy with your consent, which may be express (for example, when you create an Account) or implied (for example, when you continue to use the Service). You may withdraw your consent at any time, subject to legal or contractual restrictions, by contacting us.
If you have a concern about how we handle your personal information that we are unable to resolve, you may file a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca.
International Users
The Service is operated from the United States, and we currently market and offer it to residents of the United States and Canada. We do not actively market the Service to residents of the European Union, the United Kingdom, or other jurisdictions outside the United States and Canada.
If you access the Service from outside the United States or Canada, you understand that your information will be transferred to, stored in, and processed in the United States, where data protection laws may differ from those in your country.
Children
The Service is intended for adults aged 18 or older and is not directed at children. We do not knowingly collect personal information from children under 13 (or under 16 in jurisdictions where that is the applicable age). If you believe a child has provided personal information to us, contact support@presencereport.com and we will delete it.
Do Not Track
Some browsers offer a "Do Not Track" (DNT) setting. There is currently no industry consensus on how to respond to DNT signals, so the Service does not change its behavior based on DNT signals. If a recognized standard emerges, we will update our practices accordingly.
Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, the Service, or applicable law. When we do, we will revise the "Last Updated" date at the top of this page. For material changes, we will provide notice through the Service or by email to the address on your Account.
Your continued use of the Service after a change becomes effective constitutes your acknowledgment of the revised Privacy Policy.
